Offer a time the clinic can accommodate.

Booking availability considers the service, clinic hours, practitioner availability and configured schedule blocks. A request for a particular doctor uses that doctor's availability.

Use Watson's configured booking page and connected conversation channels to help patients find a service and time. Staff can also manage appointments from the clinic's schedule.

Hours that reflect the clinic

Configure operating hours, practitioner schedules and blocked periods. Service duration and scheduling rules shape which appointment times are offered.

WHEN PLANS CHANGE

Keep the booking and its messages in step.

A reminder is useful when it refers to the visit the patient is actually due to attend. Changes need to stay connected to the schedule.

Reminder timing set by the clinic

Choose reminder lead times and the supported channels you want to use. The system records reminder outcomes, so the team can distinguish a sent reminder from one that was skipped or failed.

Rescheduling and cancellation

On supported connected channels, patients can reply to request a change. Watson checks the booking and available times, while staff can handle exceptions and changes directly. Reminders use the current booking time and status.

A waiting list for a suitable opening

Where the waitlist is enabled, retain requests for a preferred service, practitioner and time. An opening still needs to meet the patient's request and the clinic's booking rules before it can become an appointment.

Your questions, answered.

Can patients request a specific doctor?

Yes. For a configured bookable practitioner, availability is checked for that person and the requested service. If the patient has no preference, the system can use the available eligible practitioners.

Are WhatsApp reminders included in the workflow?

The reminder workflow supports WhatsApp for connected eligible bookings. Delivery follows the booking origin, with a WhatsApp fallback for phone bookings. Channel connection, template availability and the clinic's settings determine what can be sent.

Can we choose when appointment reminders go out?

Yes. Reminder lead times are configurable. The default settings use 24 hours and 2 hours before the appointment, but the clinic can choose its own supported offsets and enable or disable reminders.

What happens to reminders when an appointment changes?

Reminder eligibility is evaluated against the current appointment time and status. Confirmed and rescheduled bookings can receive reminders; cancelled appointments are not treated as upcoming confirmed visits.

Can patients still walk in?

Yes. The clinic queue also supports walk-in visits without an advance appointment. The Front desk & queue page explains how those patients enter the consultation workflow.

Does a reminder guarantee the patient will attend?

No. Reminders help patients remember and respond to a booking. Your clinic still decides its confirmation, deposit, cancellation and no-show policies, and staff handle exceptions.
